Advanced Topic 35 of 50 Computer Networks

Email Protocols

SMTP, IMAP and POP3 for sending and retrieving mail.

How it works

Email uses several protocols: SMTP sends and relays messages between servers, while IMAP and POP3 let clients retrieve them. IMAP keeps mail on the server and synchronizes folders across devices; POP3 usually downloads and removes it. DNS MX records tell senders which servers accept a domain's mail. Authentication standards SPF, DKIM and DMARC check that senders are authorized.

Step-by-step walkthrough

  1. The sender's client submits mail via SMTP.
  2. The server looks up the recipient's mail server and relays it.
  3. The message is stored in the mailbox.
  4. The recipient reads it with IMAP, which syncs folders.
  5. POP3 instead downloads and usually deletes it.

Where it is used

Every mail client, mailing list, notification system and transactional email service uses these protocols, often secured with STARTTLS or implicit TLS.

Common pitfall

SMTP was designed without authentication, so spam and spoofing are widespread; misconfigured SPF, DKIM or DMARC send legitimate mail to spam folders. Open relays are abused by spammers. Attachments and links carry malware and phishing risk. Use TLS, authenticated submission on port 587, and monitor reputation and bounces.

Where it fits in the course
